Open Board Positions and Volunteer Needs

The success of the Twin Cities chapter depends on a network of volunteers serving in a variety of roles. No matter your interests or experience, you can serve the greater good. Attend chapter events, lend a hand to fellow alumni and students or get involved with the Twin Cities chapter board.

Why get involved, you ask? Besides strengthening your connection to the University of Wisconsin-Madison and elevating Badger Pride in the Twin Cities, you will:

Expectations for all Board Members:

  • Attend Board meetings and report to the board on matters related to position and/or committee, as applicable
  • Provide strategic direction to the board
  • Plan and prepare events for Badger alumni in the Twin Cities
  • Coordinate with WAA staff on events, as applicable 
  • Represent the Chapter, WAA and the university at events and activities as needed
  • Respond to chapter related emails and Slack messages in a timely fashion

President

  • Coordinate the Chapter team members and activities
  • Support the WAA mission and Alumni Relations and Engagement Team by implementing Welcome-Connect-Support
  • Serve as the Chapter’s primary contact with the WAA; serve as the liaison between the WAA and as the ambassador and point of contact for the community
  • Serve as chairperson of the Board by presiding at all meetings of the Board and at all Chapter or special meetings where the proceedings are of a business nature
  • Oversee all official Chapter activities, finances, the Board, and yearly programming
  • Monitor compliance with WAA mandates (i.e., Bascom Chapter requirements) 
  • Maintain relationships with Chapter sponsors and donors
  • Facilitate relationships with Twin Cities B1G chapters and support cross-promotion of events and initiatives planned by those groups. 
  • Ensure Chapter publicity, activity reports (i.e., Annual Report), minutes, event forms, and reports are submitted by the appropriate lead in a timely manner
  • Adequately prepare and mentor the Vice-President for the position of President

Vice President

  • Perform the duties of the president when he or she is absent
  • Support the president, secretary, and treasurer at Chapter functions in order to become familiar with and promote all Chapter operations
  • Advise Chapter committees
  • Facilitate relationships with WAA Affinity groups and support cross-promotion of events and initiatives planned by those groups. 
  • Assist the president with the recruitment and onboarding of new members and team members
  • Partner with the marketing team to ensure the newsletter accurately represents Chapter vision and goals. 

Treasurer

  • Document and track Chapter financial records, including retaining receipts and tracking and categorizing all transactions 
  • Disburse funds, including reimbursement expenses
  • Maintain accounts and balances, including moving funds into the scholarship or endowment accounts, as needed, and managing the endowment account in accordance with board needs
  • File state and federal tax returns, including confirming tax preparer’s availability and capacity to assist and requesting tax return extension (May & November)
  • Coordinate scholarship disbursement for each school year including (but not limited to) determination of allocation amounts, selection criteria, and endowment transfers. Submit all information and paperwork to WFAA by specified deadlines. Partner with Incoming and Current Students Committee members to foster relationships with scholarship recipients. 
  • Complete and submit WFAA’s annual Treasurer’s report (September)

Secretary

  • Coordinate and schedule board meetings
  • Prepare and distribute meeting agendas and minutes
  • Record minutes for each board meetings
  • Maintain and respond to  all emails received via the official chapter email account
  • Maintain board records, including governing documents, minutes and event planning materials from past events
  • Keep the board and WAA informed of meetings, nominations, elections and changes in the board and membership
  • Prepare list of Eligible Voters for each year following the last board meeting of the year, based on attendance and board composition

Marketing Director

  • Provide timely and comprehensive information to Twin Cities alumni about events, workshops, Chapter issues, and other matters of interest via regular Chapter newsletter.  Create and maintain a favorable image of the Chapter by (a) keeping the membership informed of Chapter activities and upcoming meetings, and (b) disseminating relevant Chapter and WAA information viewed as beneficial to the members.  
  • Maintain, curate, and plan content for social media accounts including Facebook, Instagram, and Twitter
  • Maintain chapter website
  • Respond to alumni suggestions, problems, and questions that are submitted via social media channels 
  • Work with board members to promote and plan all Chapter events; this may include submitting an event and push email content to the Alumni Association via the WAA website, creating events on Facebook and pushing events on all social media channels
  •  Coordinate activities among committee members; manage communications with committee members to ensure information is effectively shared among group. 

Chair – Athletics Committee 

  • Negotiate and coordinate game watch locations, including reserving a Chapter table
  • Coordinate game watches and purchase of tickets with University of Minnesota for any Wisconsin sports when they visit the Twin Cities
  • Work with the UW Athletics Department to promote tournament games and pregame events
  • Coordinate outings for professional sports games, including the Brewers, Twins, Wild, Timberwolves and Minnesota United
  • Work with the Chapter leadership and WAA communication and marketing staff to reach out to alumni via website, e-mail, and social media, to promote events and encourage participation.
  • Coordinate activities among committee members; manage communications with committee members to ensure information is effectively shared among group. 

Chair – Young Alumni Committee 

  • Plan annual Welcome to the Twin Cities event to introduce new grads (and other movers) to our chapter. 
  • Coordinate other events to curate relationships with alumni that have graduated in past 5 years - including but not limited to play dates, happy hours, professional networking events, and more. 
  • Establish Chapter athletic teams (softball, kickball) as needed. 
  • Host regular committee meetings if necessary to ensure events are being planned according to Chapter best practices; update Board on events planned and request approval from Board as needed. 
  • Work with the Chapter leadership and WAA communication and marketing staff to reach out to alumni via website, e-mail, and social media, to promote events and encourage participation.
  • Coordinate activities among committee members; manage communications with committee members to ensure information is effectively shared among group. 

Chair – Mid Career and Family Committee 

  • Coordinate other events to curate relationships with alumni and their families - including but not limited to play dates, happy hours, professional networking events, and more. 
  • Host regular committee meetings if necessary to ensure events are being planned according to Chapter best practices; update Board on events planned and request approval from Board as needed. 
  • Work with the Chapter leadership and WAA communication and marketing staff to reach out to alumni via website, e-mail, and social media, to promote events and encourage participation.
  • Coordinate activities among committee members; manage communications with committee members to ensure information is effectively shared among group. 

Chair – Incoming and Current Students Committee 

  • Plan annual Student Send Off event to recognize scholarship winners and other students heading to Madison in the fall. 
  • Coordinate other events to curate relationships with parents of current students and incoming high schoolers to encourage a strong pipeline of alumni from UW Madison. 
  • Host regular committee meetings if necessary to ensure events are being planned according to Chapter best practices; update Board on events planned and request approval from Board as needed. 
  • Work with the Chapter leadership and WAA communication and marketing staff to reach out to alumni via website, e-mail, and social media, to promote events and encourage participation.
  • Coordinate activities among committee members; manage communications with committee members to ensure information is effectively shared among group. 

Chair – Fundraising Committee

  • Develop, coordinate, implement and oversee Chapter fundraising efforts to sustain the Chapter’s endowment and enable our annual scholarship awards
  • Identify and develop relationships with potential donors, develop strategies to encourage new or increased contributions, and secure commitments of participation or donation from individuals or corporate donors. 
  • Contact corporate representatives, government officials, or community leaders to increase awareness of organizational causes, activities, or needs
  • Compile or develop materials to submit to granting or other funding organizations
  • Host regular committee meetings if necessary to ensure events are being planned according to Chapter best practices; update Board on events planned and request approval from Board as needed. 
  • Work with the Chapter leadership and WAA communication and marketing staff to reach out to alumni via website, e-mail, and social media, to promote events and encourage participation.
  • Coordinate activities among committee members; manage communications with committee members to ensure information is effectively shared among group.
